Handyman invoice template

A handyman invoice puts each job from the visit on its own line with its own time, adds a trip charge and the materials, and ties it back to the estimate. The sample below is three small jobs on one afternoon.

A made-up job, filled in to show how it's written. No sign-up, no email. US Letter, 1 page, 31 KB.

The notes printed at the bottom

Three jobs, one visit on Nov 4, as on estimate EST-58. Faucet supplied by the client: labor only.

Why it's written this way

  • One visit, several small jobs: each job is its own line with its own hours, so the customer sees where the time went.
  • The trip charge is a single flat line at the top.
  • Materials are one line with a short list; keep receipts in case the customer asks.
  • When the customer supplies a part, say so in the notes so the low price on that line isn't a surprise.

How to write an invoice for handyman work

  • Your business name and phone, and the customer’s name and address.
  • A trip charge or minimum as the first line, if you charge one.
  • Each job on its own line: what you did and where in the house, with hours as the quantity at your hourly rate, or a flat price at quantity 1.
  • Materials on one line with a short list, or one line per item for anything expensive.
  • Parts the customer supplied, said in the notes, so a low line doesn’t look like a mistake.
  • The estimate number and how it was approved (signed, by text, by email).
  • The due date and how to pay.

Several jobs, one visit

Customers save up small jobs for one visit. One line per job shows where the time went, and lets the customer drop a job next time if it’s not worth it to them. Write hours as decimals: 45 minutes is 0.75, an hour and a half is 1.5.

Estimate first

Before you start, write an estimate with each job and its expected time, and get a yes in writing, even a text. In Invoice Maker the approved estimate becomes the invoice in one tap; change the hours to what they really were, and send it.

Trip charges and minimums

A trip charge covers getting to the job. Put it on its own line so it’s visible, and mention it when you book the visit. If you charge a minimum instead (for example the first hour), bill it as one line and the extra time as another.
