Why it's written this way

  • Recurring visits are one line with the visit dates in the description and the count as the quantity (4 x $55).
  • One-off jobs (cleanup, mulch, pruning) are separate lines with their own units: cubic yards, hours.
  • Next month, duplicate this invoice in the app: it copies the client and lines into a new draft with today's date, and you change the dates and counts.

What goes on a lawn care invoice

  • Your business and the customer’s name and property address.
  • Repeat visits on one line: the service (mowing, trimming, edging), the visit dates, and the number of visits as the quantity.
  • One-off work on separate lines with units: cleanups as a flat price, mulch or soil by the cubic yard, pruning or planting by the hour.
  • Materials you supplied, if they’re not already priced into an installed rate.
  • The period it covers (October service) and anything coming up, such as the season’s last mow.
  • How to pay: check, card or a payment app, with the details.

Monthly billing without recurring invoices

Most lawn customers are billed monthly for weekly or every-other-week visits. Invoice Maker has no automatic recurring invoices. Instead, at the end of each month duplicate the customer’s last invoice: it copies the customer and lines into a new draft with today’s date and a new number. Update the visit dates and counts, add any extra jobs, and send it. It takes a minute and you see every invoice before it goes.

How to quote lawn care

Quote with an estimate: a price per visit based on the lot size and what’s included (mow, trim, edge, blow), and separate prices for seasonal jobs like aeration or leaf cleanup. When the customer agrees, convert the estimate into the first invoice and duplicate from there.

Seasonal and one-off jobs

Spring and fall cleanups, mulch, planting and hardscape work belong on their own lines or their own invoice, so the monthly mowing price stays the same and easy to check. For bigger landscaping jobs, quote with an estimate and invoice when the work is done.
